Terms of Service

These Terms of Service ("Terms") govern your use of Hostdeck, a property management platform operated by Hostdeck Limited, a company incorporated in Ireland ("Hostdeck", "we", "us", "our"). By creating an account or using the service you agree to these Terms. If you do not agree, do not use Hostdeck.
1. The service
Hostdeck provides a multi-tenant administration tool for short-term rental hosts, including booking management, calendar synchronisation, guest communications, cleaning scheduling, and financial accounts. We may update, change, or discontinue features at any time. We will give reasonable notice before discontinuing a core feature.
2. Eligibility
You must be at least 18 years old and capable of entering a legally binding contract to use Hostdeck. By using the service you confirm that you meet this requirement. Hostdeck is intended for business use; consumer protection legislation may apply differently depending on your jurisdiction.
3. Account
You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. Notify us immediately at hello@hostdeck.io if you suspect unauthorised access. We are not liable for loss arising from unauthorised account access where you failed to keep your credentials secure.
4. Subscription and billing
4.1 Trial
New workspaces receive a 14-day free trial. No payment method is required to start a trial. At the end of the trial your workspace enters read-only mode unless you subscribe.
4.2 Pricing
Hostdeck is priced at €15 per active property per month, billed monthly. Prices include Irish VAT where applicable. We reserve the right to change pricing with at least 30 days' notice.
4.3 Payment
Subscriptions are billed via Stripe. By providing a payment method you authorise us to charge the applicable fees monthly. Invoices are available in your billing settings. All charges are in Euro (€).
4.4 Cancellation and refunds
You may cancel your subscription at any time from Settings → Billing. Cancellation takes effect at the end of the current billing period; you retain access until that date. We do not provide refunds for partial months except where required by law.
4.5 Non-payment
If a payment fails, we will retry using standard card retry logic. After the grace period your workspace will enter read-only mode. You can reactivate at any time by updating your payment method.
5. Acceptable use
You agree not to:
- Use Hostdeck for any unlawful purpose or in violation of any applicable law or regulation.
- Upload or transmit malware, viruses, or any malicious code.
- Attempt to gain unauthorised access to the service or another user's data.
- Scrape, crawl, or use automated means to access the service beyond normal use.
- Resell or sublicense access to Hostdeck without our written consent.
- Use the guest communication features to send spam or unsolicited commercial messages.
6. Your content and data
You retain ownership of all data you upload or create within Hostdeck (bookings, property information, guest records, financial data, etc.). You grant us a limited licence to process and store this data solely to provide the service to you. We do not use your data to train AI models, and we do not share it with third parties except as described in our Privacy Policy.
You are responsible for ensuring that the personal data of your guests that you store in Hostdeck is collected and processed lawfully. You are the data controller for your guests' data; we act as data processor under our Privacy Policy.
7. Intellectual property
Hostdeck and its underlying software, design, and content are owned by Hostdeck Limited and protected by Irish and EU intellectual property law. Nothing in these Terms grants you any rights in Hostdeck's intellectual property other than the right to use the service as described herein.
8. Third-party integrations
Hostdeck integrates with third-party services including Airbnb, Booking.com (via iCal), and Stripe. Your use of those services is subject to their own terms and privacy policies. We are not responsible for the availability or accuracy of third-party services.
9. Uptime and service levels
We aim to provide a reliable service but do not guarantee uninterrupted availability. We perform maintenance, which may cause brief periods of downtime. We will endeavour to schedule maintenance outside peak hours and to notify users in advance of planned downtime.
10. Disclaimer of warranties
The service is provided "as is" and "as available" without warranty of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the service will be error-free or that data loss will not occur.
11. Limitation of liability
To the maximum extent permitted by applicable law, Hostdeck Limited shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business, arising out of or in connection with these Terms or your use of the service.
Our total aggregate liability to you for any claim arising out of or related to these Terms or the service shall not exceed the greater of (a) the fees paid by you in the 12 months immediately preceding the claim or (b) €100.
Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or fraudulent misrepresentation, or any liability that cannot be excluded by law.
12. Indemnification
You agree to indemnify and hold harmless Hostdeck Limited and its officers, directors, and employees from any claims, damages, or expenses (including reasonable legal fees) arising from your use of the service, your violation of these Terms, or your infringement of any third-party rights.
13. Termination
We may suspend or terminate your account if you materially breach these Terms and fail to remedy the breach within 7 days of notice. On termination you may request an export of your data within 30 days. After 30 days post-termination we will permanently delete your data in accordance with our Privacy Policy.
14. Governing law and disputes
These Terms are governed by Irish law. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Ireland. If you are a consumer, you may also bring proceedings in the courts of your country of residence.
15. Changes to these Terms
We may update these Terms from time to time. We will notify you by email and update the "Last updated" date above at least 14 days before material changes take effect. Continued use after the effective date constitutes acceptance. If you disagree with the changes, you may cancel your subscription before they take effect.
